Who we are and what this covers
OmniTek Consulting, Inc. (“OmniTek”, “we”) is located at 1640 Boro Place, 4th Floor, McLean, VA 22102. This policy explains what personal information we collect, why, and what choices you have.
It covers:
- Our website, http://www.omnitekconsulting.com
- The free AI Readiness Quick Check
- Our free implementation guides
- The paid AI Readiness Report Card, including its team version
- Our emails and newsletter
- Meetings you book with us
Our client consulting work is covered by the agreement with each client, not by this policy.
Questions about privacy go to support@omnitekconsulting.com.
What we collect and why
We collect only what you give us and what each feature needs. The free Quick Check doesn’t save your individual answers.
| Where | What we collect | Why | How long we keep it |
|---|---|---|---|
| Quick Check, without email | Nothing that identifies you. We count how many people start and finish, with no answers or scores attached. | To see how the Quick Check is used | 14 months |
| Quick Check, “email my results” | Email, first name, company, your two profile answers (company type and department), your readiness level, your three next steps, and whether you opted in to the newsletter | To send your results, and follow up if you asked us to | 24 months after your last contact with us |
| Free guide download | Email, first name, company, and which guides you downloaded | To send the guide, and see which guides are useful | 24 months after your last contact with us |
| Report Card early access | Email and name | To tell you when the Report Card is available | Until it launches, then as above |
| Report Card (paid) | The buyer’s name, email, and company; each leader’s department details, job title, and answers; the names and work emails of colleagues the buyer invites; and the reports. Individual answers are never shown to the buyer or to colleagues. The report shows only the buyer’s own results, or team averages and ranges once three or more leaders have answered. | To deliver the assessment and the combined report | Deleted automatically 24 months after purchase, or sooner if you ask. Your private links stop working 90 days after purchase. |
| Report Card summary in our CRM (buyer only) | On the buyer’s HubSpot contact record: purchase date, access end date, credit deadline, status, department, how many colleagues were invited and have finished, and, once the report exists, the overall readiness level and the three biggest gaps. Invited colleagues are not added to HubSpot, and no individual answers are sent there. | To support you during your access period, prepare a results debrief if you book one, and apply the $750 credit | 24 months after your last contact with us |
| Payment | Name, email, billing address, amount, and payment status. Card details go to HubSpot’s payment processing (provided by Stripe); we don’t see or store them. | To take payment, and keep financial records | 7 years, as required for tax and accounting |
| Meeting booking | Name, email, the time you choose, and anything you add to the booking | To hold the meeting | 24 months after your last contact with us |
| Newsletter | Email, and your opt-in choice | To send the newsletter you asked for | Until you unsubscribe |
| Website visits | Cookie and analytics data: pages viewed, device and browser, and approximate location. If you’ve given us your email, HubSpot links your visits to your contact record. | To run and improve the website | 14 months |
When you invite colleagues to the team version of the Report Card, you confirm you are allowed to share their name and work email with us. We use them only to send their invite, up to two reminders, and their private link. We don’t add invited colleagues to HubSpot or to any marketing list, and the buyer never sees their individual answers.
Who we share it with
We don’t sell your personal information. We share it only with service providers that run parts of our service for us, under contracts that limit how they use it:
| Provider | What it does for us |
|---|---|
| HubSpot | Contact records, forms, emails, meeting booking, and payments (card processing is provided by Stripe for HubSpot) |
| Network Solutions | Hosts our website and the WordPress database that stores Report Card answers |
| Brevo | Delivers Report Card emails: welcome, invites, and reminders |
| Google Analytics | Counts website and Quick Check use |
We may also share information if the law requires it, or as part of a sale or merger of our business, under the same protections.
International transfers
OmniTek is based in Virginia, in the United States, and our providers store data there. If you are in the EU, the UK, or Switzerland, your information is transferred to the United States. We rely on the Standard Contractual Clauses approved by the European Commission for these transfers.
